The Commercial Administrative Coordinator provides administrative, analytical, and operational support to the Director of Sales, Director of Sales & Marketing, and Private Dining Sales Manager. This role supports the Sales & Marketing team through reporting, CRM management, prospecting support, data analysis, departmental administration, and private dining coordination.
The ideal candidate is highly organized, analytical, detail-oriented, and proficient in managing multiple priorities in a fast-paced hospitality environment.
Essential Responsibilities
Administrative Support
Provide administrative support to the Director of Sales and Director of Sales & Marketing.
Coordinate meetings, maintain calendars, and prepare presentations and reports.
Assist with departmental communications, document management, and special projects.
Maintain departmental files, records, and organizational systems.
Sales Intelligence & Prospecting
Manage and maintain CRM databases to ensure data accuracy and integrity.
Serve as the primary administrator for Knowland, Cvent, Topline, and other prospecting platforms.
Generate weekly and monthly prospecting lists for the Sales team.
Track and analyze citywide, self-contained, and non-self-contained business opportunities.
Manage relationships and workflows with third-party prospecting vendors.
Research target accounts and identify new business opportunities.
Reporting & Analytics
Prepare weekly, monthly, and quarterly sales reports and dashboards.
Analyze sales activity, prospecting efforts, and business trends.
Compile data for business reviews, budget planning, and leadership presentations.
Maintain departmental trackers and reporting tools.
Private Dining Support
Provide administrative support to the Private Dining Sales Manager.
Maintain inquiry and activity tracking reports.
Assist with database management, follow-up, and reporting.
Support promotional efforts and administrative needs related to Private Dining.
Marketing Administration
Process guest amenities and VIP requests.
Assist with maintaining sales and marketing collateral.
Support administrative tasks related to marketing initiatives, events, and promotions.

Your experience and skills include:
• Bachelor's degree preferred or equivalent work experience. Minimum 2 years of administrative, sales support, marketing support, or hospitality experience. Hotel sales and marketing experience preferred. Experience with OSEM, Knowland, Cvent, Topline, or similar platforms preferred. Advanced proficiency in Microsoft Excel and strong working knowledge of Microsoft Office Suite. Strong analytical, organizational, and communication skills. Ability to manage multiple priorities while maintaining attention to detail.
Compensation Range: $26.00 - $29.00 per hour
