Summary

The Fuel Operations Analyst assists with daily fuel operations activities, including fuel data validation, inventory tracking, invoice reconciliation, and operational reporting. This position supports internal controls, audit readiness, and month end close processes while collaborating with cross functional teams and external vendors to resolve issues and improve data quality. The role emphasizes accuracy, process discipline, and continuous improvement in a fast paced, high volume environment.

Minimum Requirements

Combination of Education and Experience will be considered. Must be authorized to work in the US as defined by the Immigration Act of 1986. Must pass a Criminal Background Check.

Education: Bachelor’s Degree

Education Details:  

Bachelor’s degree in Business Administration, Accounting, Finance, or related field.

Years of Experience:  

Minimum three (3) years of experience in finance, accounting, or related field.

•    Proficient with Microsoft Office: Outlook, Word, Excel, PowerPoint, etc.

•    Must have a strong work ethic.

•    Must be well-organized and a self-starter with the ability to prioritize.

•    Detail-oriented, professional attitude, reliable, and possesses a high degree of accuracy.

•    Ability to work independently and with a team in a fast-paced, high-volume environment with accuracy and timeliness.

•    Must have analytical and critical thinking skills.

•    Excellent written and verbal communication and interpersonal skills, with the ability to present to management.

•    Documentation, research, and problem-solving/resolution skills.

Preferred Requirements

•    Master’s degree in Business Administration and Management.

•    Experience within the petroleum or airline industry.

•    Strong problem-solving skills, basic accounting principles knowledge, and data analysis skills.

•    Knowledge and experience in petroleum pricing, fuel supply and distribution, refining, or trading.

•    Ability to recommend and implement strategic courses of action relative to various fuel circumstances.

Job Duties

•    Support day to day fuel inventory monitoring, including reviewing uplift data, inventory balances, and usage trends across all locations.

•    Assist with maintaining fuel capacity and inventory-on-hand data to support operational planning and risk mitigation.

•    Monitor bulk fuel locations and escalate inventory variances, shortages, or anomalies to the Senior Manager.

•    Review fuel invoices, fuel tickets, and uplift data to ensure gallons, taxes, fees, and supporting documentation align with operational records.

•    Reconcile into plane, consortium, and fuel supply billings; identify discrepancies and coordinate resolution with vendors, Fuel Procurement, and Accounting.

•    Support month end close activities by ensuring timely and accurate fuel reconciliations.

•    Assist with maintaining data integrity within fuel management and accounting systems.

•    Provide day to day supervision of fuel administrators, including task assignment, prioritization, and workload balancing.

•    Review work output for accuracy, completeness, and compliance with documented procedures and internal controls.

•    Assist with training fuel administrators on standard work, system usage, documentation requirements, and process updates.

•    Serve as the first point of escalation for operational issues, data discrepancies, and process questions.

•    Identify training gaps, recurring errors, or process breakdowns and recommend corrective actions.

•    Support performance feedback and development discussions in partnership with the Senior Manager.

•    Prepare recurring and ad hoc fuel usage reports, inventory summaries, and operational analyses.

•    Validate data accuracy and completeness across fuel systems, vendor reports, and internal datasets.

•    Support KPI tracking related to invoice accuracy, reconciliation timeliness, and administrative productivity.

•    Support process improvement initiatives focused on standardization, automation, and reduction of manual effort.

•    Assist with system enhancements, UAT, and regression testing for fuel and related operational platforms.

•    Help document procedures, workflows, and controls to support scalability, training, and audit readiness.

•    Coordinate with internal technology teams and vendors to troubleshoot data and system issues.

•    Partner with internal teams (Accounting, AP, OCC/Dispatch, QA, Tax, Treasury, Airport Services, IT) to support fuel operations.

•    Communicate with fuel vendors and airport operators to resolve data issues, missing documentation, or reporting inconsistencies.

•    Maintain accurate fuel vendor and airport contact information.

•    Support the Senior Manager, Fuel Operations, with analysis, reporting, and special projects.

•    Other duties as assigned.

Office - While performing the duties of this job, the Team Member is regularly required to stand, sit, talk, hear, see, reach, stoop, kneel, and use hands and fingers to operate a computer, key board, printer, and phone. May be required to lift, push, pull, or carry up to 20 lbs. May be required to work various shifts/days in a 24-hour situation. Regular attendance is a requirement of the role. Exposure to moderate noise (i.e. business office with computers, phones, printers, and foot traffic), temperature and light fluctuations. Ability to work in a confined area as well as the ability to sit at a computer terminal for an extended period of time. Some travel may be a requirement of the role.
