Overview of the Role:

The Patient Services Representative greets, instructs and directs patients/visitors. Checks patients in/out efficiently and smoothly in a professional manner. Provides excellent customer service to both patients and office personnel.

• Greet patients and visitors promptly with a professional and helpful demeanor.

• Execute the patient check-in process by verifying and updating all demographic and insurance information at every visit.

• Assist new patients with the completion of intake forms and ensure all digital and physical records are organized.

• Collect co-pays, co-insurance, and outstanding patient balances; facilitate financial agreements as directed by the Patient Financial Services (PFS) team.

• Maintain real-time communication with clinical staff regarding scheduling updates, including late arrivals or cancellations, to optimize patient flow.

• Batch and balance all daily financial transactions and submit comprehensive activity reports at the end of each shift.

• Maintain strict adherence to HIPAA guidelines and internal privacy protocols to protect patient information.

• Participate in ongoing educational activities and staff meetings to improve practice workflows.

• Perform other administrative duties as required to support the Director of Practice Operations.

• 2+ years of experience in a clinical or medical office setting.

• Exceptional verbal and written communication skills with a strong customer-service orientation.

• Proven ability to manage competing priorities in a high-volume, fast-paced environment.

• Strong organizational skills and attention to detail.

• Proficiency with medical billing software and Electronic Health Records (EHR) preferred.

• High School Graduate or GED

Physical Demands

Work may require sitting for long periods of time; also stooping, bending and stretching for files and supplies; occasionally lifting files or paper weighing up to 30 pounds; requires manual dexterity sufficient to operate a keyboard, operate a telephone, copier and such other office equipment as necessary; vision must be correctable to 20/20 and hearing must be in the normal range for telephone contacts; it is necessary to view and type on computer screens for long periods and to work in an environment which is very stressful.
